Core Group - Order Management Controller

  • Managing the day to day operations of the order management activities for the relevant product lines.
  • Coordinating, analysing and reporting on the order management activities of the relevant product lines.
  • Offers support to the rest of the supply chain team and acts as link between customers and warehouse operations
  • This person must be a highly organised individual who has the ability to understand different stages of our ordering process.
  • In addition, this person needs to be able to facilitate and provide feedback on multiple orders within different stages of the process.

Key Responsibilities:

Processing:

  • Approvals of GSX repairs & processing customer repairs on Filemaker 
  • iStore & AASPs spares shipment tracking
  • Controlling back orders for customers 
  • Capturing & issuing AASP & iStore orders daily on Syspro


Billing / Financial Services:


  • Invoicing customers on Syspro daily

Service & Sales Support:


  • Generation of quotes for Tools & consumables - AASPs, iStores and Core Service Centre Accurate & timeous processing 
  • Generation of daily repairs report – GSX repairs correspond with Filemaker & purchase orders received from customers Repairs on GSX vs FM corresponding with each other
  • Sending updated price lists to customers on a monthly basis Accurate / Timeous / Consistent Processing OOBF / CPA Claims Daily approvals 
  • Arranging KBB pick up requests from AASPs (CGA) All faulty spares shipments processed within 24 hours of manifests received 
  • Effective customer communication 
  • Importing Required GSX info into Filemaker (Nocaon IDs) 
  • Weekly Imports ASP Shipment Monitoring (KGB & KBBs) - Custom queries, delivery

 

Inventory and Asset Monitoring

  • Generang new spare part numbers for inventory on Syspro & Filemaker 
  • Placing stock requisions on GSX & Syspro Accuracy (GSX corresponding to Syspro) - Using correct pricing structure 
  • Monitor & update iStore Open box SOH


About You:

Qualifications:

  • Matric certificate.

Experience Required:

  • Practical experience in sales administration role
  • Experience with working with different currencies
  • Strong knowledge of Excel

  • Systems Knowledge - Ability to process in Syspro, GSX & Filemaker
  • Attention to detail - Diligence with all daily activitie
